Updating lables in word

Note: This is for Office 2003; instructions for other versions may vary.

In the Mail Merge menu on the right under Select document type, select Labels. Here I am using Avery 4013 on a Dot Matrix printer.

delete the double chevrons on either side of the field.

For example, below Table Start: Products has been shorted to TS: Products to better fit within the table cell.

Now over on the Mail Merge menu bar you will want to select the “update all labels” button. Now, on the mail merge menu you can click through the Recipients by clicking the back or forward arrows. You will be presented with the print select screen. You will get a different record for each contact from your data source on each label.

This simple process can save you hours of fussing around with labels, ensuring you don't resort to handwriting them later!

If you click OK from the Field dialog box, Word will revert your field to the full field label; instead choose Cancel to maintain the changes you previously made to your field label.

Your field label will now remain as the altered version while the underlying field name remains the full field name as referenced in the Template Builder.

If you have oddball labels you can always choose custom settings as well. Now you are going to want to choose your data source. Use Explorer to find the data source you want to use and double click it.

(Creating a data source will be covered in another how to).
